Your role

In the role, you will support the exclusive Buddy Scheme social program and Global Cafe where you will be responsible for:

  • Event management including planning socials creatively and hosting activities
  • Supervising Welcome Team assistants supporting the social programs
  • Activity monitoring, evaluation, and reporting including liaising with Buddy Scheme participants to continually improve the socials.

You will also work on the Intercultural Ambassadors volunteering program where you will be responsible for:

  • Supporting the planning, delivery, and promotion of the recruitment process
  • Maintaining communications and liaising with Intercultural Ambassadors
  • Supporting in-person Ambassador training sessions
  • Planning and delivering Ambassador socials (evenings after training sessions)
  • Attending Ambassador projects (which may be outside of your usual working hours)
  • Program monitoring, evaluation, and reporting.

As a Global Community Projects Assistant, your main duties will include:

  • Working with the team to develop, enhance, and deliver the 2024-25 intercultural activities through the stages of planning, delivery, and evaluation
  • Providing organizational and event management support for online and in-person events and training. This includes developing event ideas; and organizing event logistics in advance and on the day (for example, booking rooms, monitoring attendance, and ensuring required resources are available)
  • Being the lead friendly face/host for students attending socials and activities to build relationships, facilitate participation, and receive feedback directly
  • Ensuring the student perspective is central to the development of projects and activities managed by the team, including gathering student views; acting as student representative at project meetings; and contributing to research and evaluation activities
  • Delivering communications including speaking engagingly to a range of audiences and writing emails
  • Working with the Communications Officer to support the delivery of communication campaigns, content planning, and story capturing for future marketing activity and coordinating students’ photos/blog/video submissions for publication
  • Monitoring shared inboxes to respond efficiently and professionally to a range of inquiries or requests for information, using initiative to deal with queries, and escalating when necessary 
  • Providing thorough, accurate general support for the team, to gain hands-on experience in a range of areas of administrative work
  • Using initiative to solve straightforward problems, following procedures, and seeking further information as required
  • Building effective working relationships within the International Student Office and with partners in other services and LUU, contributing to team decisions where appropriate
  • With support from your line manager, make suggestions on how to improve International Student Office practices and processes. 

This role may involve some lifting of tables and chairs for in-person events and will require presence at work outside normal hours, including evening and weekend work when supporting events and activities. Qualifications and Skills:

Essential:

  • A passion for intercultural activity and enhancing the student experience, with the ability to demonstrate cultural awareness and sensitivity in working with cultural differences
  • Excellent organizational and planning skills with the ability to prioritize, meet deadlines, and work under pressure, while delivering high-quality work with attention to detail
  • Some experience in running events or activities with the ability to create, lead, and support on-campus, in-person events in the daytime, evening, and weekend
  • Strong verbal and written communication skills, with the ability to interact confidently with diverse student audiences (including those whose first language is not English); and good interpersonal skills to be able to develop positive relationships with a wide range of people and to help students to connect
  • A creative and flexible approach to solving problems with the ability to work proactively and independently using own judgment
  • The ability to work effectively and flexibly as part of a team, and to be reliable in consulting colleagues when appropriate
  • Experience in using Microsoft Office tools, particularly Word and Excel.
